4. Creating New Appointments

In this tutorial, we're going to look at how to create a new appointment. 

 

Step 1: We're on the appointment Calendar tab. And just as a refresher to get here, you can go to the left side navigation and rollover calendar and then click on appointments, which will just refresh the screen that we're already on.

 

 

Step 2: You can see any appointments that are already created for that day, as well as the day for available times and blocked out times on available times. 

 

 

Step 3: Click the Create new appointment button or open the modal box will pop up.

 

Step 4: And by default, your appointment type will be a standard appointment, you can change this to be an open appointment by selecting the other radio button is another video where we go through more detail of standard versus open appointments. 

 

 

Step 5: But open appointments basically mean that the appointments will appear as invitations on your clients' calendar with a link for them to join will leave this one as a standard appointment. 

 

 

Step 6: Service types again, as a video on setting up and managing service types. Service types basically are the type of appointment and service types are used to track the credits that have taken off your clients' accounts after they complete an appointment. So if we click on that and drop-down, this one's going to be personal training. 

 

 

Step 7: The appointment name will be automatically entered off the name of the service type but it can be edited. So we might change this to something morning Personal Training.

 

 

Step 8: The charge will by the for being clicked be set to service credit, which means that if we left this as a one-hour appointment, then one hours worth of personal training credits will be taken from the service balance of any clients that are entered into this appointment. 

 

 

Step 9: And then we can either leave this as one client, which we're going to in this case or if you want to create an appointment with more than one client in it, you can change that to two or three or five or 10 or whatever it is. 

 

 

Step 10: And that allows you to enter in that many clients or if it's an open appointment that determines the number of spaces that are available for clients to join. 

 

 

Step 11: So we're going to select a client, select the date of the appointment, which will do us today 21st. So let's set the time to 10 am. 

 

 

Step 12: The location field is optional. This is basically just a text field where you can enter your location. The main reason for this is just if you work from different locations, and you want your clients to see where that particular appointment is. 

 

 

Step 13: You can use this text field as a description, which is mainly for you as the trainer. If you look back at this appointment if you want to put any notes in there or further information about the appointment. 

 

 

Step 14: Now we could just create a single appointment, we could just click create from here, but also show you the more advanced option, you can click show recurring options. 

 

If you have an appointment, structure that with a particular client, or even if it's an open appointment, such as a group training that you do regularly, you can set up recurring appointments, so you don't need to put them in separately. 

 

 

Step 15: To do that, say this client was training every Tuesday. I could take Tuesday. If it's every week of live, this is one weeks. If it's saying every second week, or every month, you could do every four weeks rather than weekly. And then you get a choice to either end on a specific date. 

 

 

Step 16: If I changed that, it'll give you a date picker. Or after a number of occurrences. say let's just say that he's going to do this twice. So it'll be this Tuesday and the following Tuesday, or we could change it to a number of weeks. Likewise, if you are you may want a recurring structure where the client sees you more than once a week so might be every Tuesday and Thursday for a given number of weeks.
