3. Understanding Standard and 'Open' Appointment Types

In this image, you will see that we are in the appointment Calendar tab. In the trainer portal, we're going to go through an explanation of the different types of appointments that you can create such as open appointments, and just standard appointments. 

 

 

Step 1: So in the calendar here, and you can see that there's two different appointment types here, which you can see by the color coding green for an open appointment, as well as the word open in bold, and a standard appointment is yellow a standard appointment will have the name of the client or clients. 

 

 

 

Step 2: This particular appointment is a single assessment appointment with one client. 

 

 

Step 3: Whereas the open appointment semi-private group training has the number of spaces in the appointment and the number of available spaces. 

 

 

Step 4: So quite often open appointments will be things that you will want to create for more group type training or sessions that have more than one client at a time. 

 

So open appointments basically are like invitations for clients to join. So you might have a regular class that you want to put on your calendar, and define the number of spaces that are available, the clients can then book themselves into that slot. 

 

 

Step 5: And this will track how many spaces as well as how many clients are in there and how many are left. 

 

 

Step 6: So just switch over to the client portal at the moment and then that same screen, same page. 

 

 

Step 7: So under my trainers calendar, you'll see that they're seeing similar thing where their appointment Assessment with Arnie is there. This is that particular client. But for the open appointment, it will only show that it's an open appointment, the appointment name, the appointment’s start and finish time and a link to join. 

 

Step 8: So I'm going to click that join that client, it's going to join that open appointment, you'll see that it then changes to joined. 

 

 

Step 9: By the way, if they were looking at my calendar, along with all their other information. Their appointments will show on that calendar. So it will say Assessment with the trainer’s name his name in this case is Brandon. If they had more than one trainer that they could make appointments with had permission for that. 

 

 

Step 10: It would say which particular trainer it's with, and the open appointment, saying that if it shows on their my calendar that means that it’s in their appointment. But they also know that there's still four other spaces available if they want to tell a friend who's also a client.

 

 

Step 11: So it's now saying four or five spaces available, because one's now taken. If I click on that name of the appointment, this edit appointment mode box or pop up is basically almost the same as the one if you were creating it from scratch. 

 

 

Step 12: And you'll see at the top that there is the appointment type, which can be either standard or open appointment. And this has been created as an open appointment. 

 

 

Step 13: When you create an appointment from scratch, to create it as an open, you just keep that service type is there and the client limit and the number of clients that have joined their names are in here. So in this case, it's Arnie assessment, and there is also the date and time. If I was basically creating a new appointment from scratch, this is the field that you need to take note of standard appointment by default will always be selected. 

 

 

Step 14: By the way standard appointments don't have to be single client performance, you can change that by adding in so two or three clients, if you knew who the clients were and selecting to add those clients in. 

 

 

Step 15: You can actually add less than that number and then add someone in, later after you’ve created the appointment, what you can't do is just add more clients in, than the number of you have here have to update the number.
