6. Handling Client Appointment Requests

In the appointment scheduling feature, you can create appointments as a trainer. Clients can also request appointments from you. And in this video, we're going to go through how that's done and how you can manage those appointment requests that come through to you as a trainer. 

 

 

Step 1: So, first of all, we're going to have a look at what it's like from the clients. So they see their calendar, they can also see the trainer's calendar, if there's more than one trainer, they can select different trainers calendars, if they have access to that. 

 

 

Step 2: To request an appointment, though, click Request new appointment is functions very similarly to get a cut down version of the training area. So when the pop up comes up to request an appointment, they will see very similar options but not quite as detailed as when you create an appointment as a trainer, the service types that they will see it's important to realize are only the ones that you have published. 

 

 

Step 3: So you want to make sure that you've set up appropriate service types so that you don't get people requesting appointments for things that you don't do. 

 

 

Step 4: So in this case, they're going to request a personal training appointment, just the same as in the trainer area that could change the name he and he's going to request one. Let’s say this Thursday morning at 9am for one hour, they can also request recurring appointments with the same kind of recurring options as you can create as a trainer and then click Create. And if we then we'll see it on the client’s calendar.

 

 

Step 5: Okay to that day, it will appear to them as pending, until it's been approved by you as the trainer. 

 

 

Step 6: So you have a list of today's appointments and you will see that one that's just come through you can easily just approve or decline that if you approve it, it will then go on to your calendar and update from pending to a standard appointment on the clients calendar. 

 

 

Step 7: In this case, we can also click the link to go to see more details of that appointment. So if I click that, then go to my calendar. And it'll take me directly to that. That pending appointment modal box where I can approve or decline. 

 

 

Step 8: Just going to close that now though. So say we were just on the calendar on that day, then we would see the appointment as pending as well. And we could click Approve or decline. So you have those those few options of how to do it. So in this case, we're going to click Approve. 

 

 

Step 9: And then we'll see an update on the calendar refreshes. And that is now showing as an approved appointment. If we go back over to the client's calendar and refresh that screen we're now see that it's no longer pending it is in as an approved appointment. 

 

 

Step 10: If you decline, the appointment there will be removed from the calendar and the client will get a message to say that it's been declined. So that's how you handle appointment requests.
