5. Rescheduling Or Cancelling Appointments

This tutorial will show you how to cancel or reschedule appointments that have already been created and exist on your calendar. 

 

Step 1: So here we are in the training portal on the appointment Calendar tab and run day view. You can see a few appointments on the calendar it says to standard appointments indicated by the yellow color and one open appointment. 

 

 

Step 2: We're going to cancel this appointment at 6am here consultation with Brian Hanly the simplest way to do this is just to click the cancel link.

 

Step 3: You can also click the name and load the pop up and cancel from there. If you want to check some details of the appointment. 

 

Step 4: In this case, we're just going to click Cancel, get a confirmed message to ask if you're really sure if you want to delete or cancel this appointment, effectively the same thing, because the action copy can't be undone, you can always create another appointment, but you can't get that particular one back. 

 

 

Step 5: Just to be clear as well that depending on your cancellation settings, any appointments that are cancelled within the cancellation period, which by default is set to 24 hours before the appointment will still have a cancellation fee applied to that clients account the credit will be taken off equivalent to the duration of the appointment if you want to switch that off, so there are no cancellation fees implied. 

 

 

Step 6: Or if you want to adjust the time period or adjust the amount of the cancellation you can do that on the Settings tab. 

 

 

Step 7: If the record of that cancellation will show up in your reports which will go into in another video or now going to look at how to reschedule as it says here click appointments to edit or reschedule so this one let's say it's Assessment with Arnie and he's called and said or can you make it a bit earlier at seven instead of eight. 

 

Step 8: So if we click on the name of the appointment now you can edit an appointment and change any of the details rescheduling the really is just a specific type of editing that just means changing the date and or type so in this case we're going to leave the date the same but if we wanted to change the date, we can just click and select a different day the time of this appointment is 8am and he wants to bring it forward to 7am. 

 

 

Step 9: Now in this particular appointments case, we look at the recurring options you can see that is actually a recurring appointment that's been set up every Wednesday for three weeks. 

 

So in this case, we want to make sure that at the top that we either select whether we want to update this event only so if it's just this days appointment that we want to move to 7am will select that.

 

 

Step 10: If we want to edit to make every appointment in the recurring series in this case for three weeks to change the 7am in this case he just wants to come early for that day. So click edit this appointment only click save.
